Gearing up for the Task
The client, a large-scale steel manufacturing plant, operates heavy machinery where equipment functionality, safety, and efficiency are critical. However, their paper-based pre-start checks for over 200 assets require manual review by supervisors, creating inefficiencies and challenges across multiple shifts.

Assembling the First Model
Based on our users, their diverse needs, and our goals, we ideated a cross-platform solution consisting of a tablet app to digitize form submissions and a web portal for supervisors and workshop teams, providing real-time access to pre-start check submissions, machinery issues, and overall fleet status.
The Tablet
The Desktop
The desktop was divided in 3 tabs displaying tables and infographics that covered different sections:
Results Tabs: Shows the total number of pre-start checks submitted, categorized as 'passed' or by various types of failures, along with workshop job statuses.
Fleet Details Tab: Displays assets' maintenance history and details.
Templates Tab: Allows users to upload, edit, and manage pre-start check forms.

One of the tablet features allowed users to add notes and pictures to each checkpoint. However, during testing, some operators found scrolling to add notes cumbersome—especially since they often wear gloves.
We addressed this by transforming the "Add Note" text field into a button, eliminating the need for scrolling.
Shifting Parts
At this stage, we learned that pre-start checks and workshop operations should function independently. We reorganized the layout and introduced a more modular approach.
The revised tabs are:
Pre-Start Checks Tab: displaying only the submitted checks as well as Incomplete Ratio, and Unsigned Reports.
A Workshop Tab: A dedicated section for maintenance teams that displays pending services, flagged checks, breakdown reports, planned maintenance, and overall fleet availability—allowing them to focus solely on maintenance tasks.
The Fleet Details Tab remained the same.
Additionally, we introduced a settings button that opens a side menu, giving users access to Pre-Start Check Templates. This feature was designed with future expansion in mind, enhancing the solution’s modularity and scalability.
Outcome
The solution needed to serve different parts of the organization and deal with their main assets, that's why taking a modular approach was key:

Building Power: Users can create custom templates tailored to their unique workflows and operational contexts.
Ownership: By empowering users to add and manage their own assets, the solution fosters a strong sense of ownership and accountability—driving proactive engagement and continuous improvement.
This approach not only addressed the immediate challenges but also set the stage for long-term efficiency and innovation.
Conclusion
By building with scalability in mind, the solution can grow seamlessly alongside the client's needs, avoiding the necessity for a full redesign in the future.
